New Record Status in Record Statuses List

Create and manage statuses for your quality records.

Purpose

The Record Statuses page gives quality records their own dedicated place to create and manage record statuses, showing just the statuses used on records rather than those for batches, inventory, lots, purchase orders, vendors and work orders.

What can you do with it?

Record statuses let you describe where a quality record sits in your review process — in the language your team actually uses. This page lists only record statuses, so the people working with records see a short list that's relevant to them, and it is now the only place record statuses can be created. (The general Statuses page under Inventory still lists statuses of every type, record statuses included — what it no longer offers is creating them.)

How is it done?

  1. Navigate to the Record Statuses Page

  2. Find Record Statuses in the Quality section of the navigation, below Retention Batches.

  3. Create a New Status

  4. Click on the New Status button to initiate the creation process.

  5. Enter Status Details

  6. In the Name field, input a clear and descriptive name for your status.

  7. Status Type is fixed to Record on this page and cannot be changed.

  8. Define Blocking Status

  9. Use the Is Blocking setting to determine whether this status halts progress until resolved.

  10. Review and Save

  11. Double-check all entered details for accuracy.

  12. Click Save to apply the new status and update the Record Statuses list.

Important Considerations

  • Record Statuses sits in the Quality section, while the general Statuses page now sits under Inventory. Two separate pages, but only this one is filtered: the general page still shows statuses of every type, record statuses included.

  • The Record option has been removed from the general Statuses page — new record statuses can only be created here.

  • This page requires both the Quality and Forms licences. If you do not see it in the Quality section, your facility may be missing one of the two.

  • Viewing requires the Statuses — View permission; creating a status requires Statuses — Add.

Best Practices

  • Keep the list short. A handful of clear statuses beats twenty overlapping ones.

  • Name statuses for the state, not the action — Awaiting Review reads better on a record than Review It.

  • Use blocking statuses deliberately — powerful when they reflect a genuine quality gate, frustrating when they don't.
